This Data Subject Access Request Policy explains how Pronounce Inc. (“Pronounce,” “we,” “us,” or “our”) handles privacy rights requests from users, including requests to access, correct, delete, export, or restrict the use of personal information.

This policy should be read together with our Privacy Policy, Cookie Policy, Terms and Conditions, and Children’s Privacy and School Privacy Notice.

1. Purpose of This Policy

This policy describes how users may exercise privacy rights that may be available under applicable privacy laws, including laws such as the California Consumer Privacy Act, the California Privacy Rights Act, the General Data Protection Regulation, the UK GDPR, and other applicable privacy laws.

Depending on where you live and how you use Pronounce, you may have rights to:

  • Access personal information
  • Correct personal information
  • Delete personal information
  • Export or receive a copy of personal information
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent
  • Opt out of certain marketing communications
  • Opt out of certain sale, sharing, targeted advertising, or profiling activities where applicable

These rights may be limited by law, account status, security needs, fraud-prevention needs, technical feasibility, backup retention, legal obligations, dispute resolution, and other lawful reasons.

2. Account-Based Privacy Controls

Pronounce is designed so that many privacy choices can be managed directly through the user account.

Where available, users should use their account settings to:

  • View account information
  • Update account information
  • Manage subscription settings
  • Delete the account
  • Export or access available data
  • Manage product preferences
  • Opt out of marketing communications
  • Control available privacy settings

Account deletion is processed through the user account where the account-deletion feature is available.

We do not require users to email Pronounce for ordinary account deletion or account-management choices when those controls are available in the user account.

3. When to Contact Pronounce

If you cannot access your account, cannot use available account controls, believe account tools do not allow you to exercise a privacy right available to you, or need help with a privacy request, you may contact us.

4. Information to Include in a Request

To help us process a request, you should include:

  • Your name
  • The email address associated with your Pronounce account
  • The type of request you are making
  • The country, state, or region where you are located
  • Any details needed to understand the request
  • Whether the request relates to your own account, a child account, a student account, or an organization account

Do not send sensitive personal information unless necessary.

We may request additional information if needed to verify your identity, understand your request, prevent fraud, protect account security, or comply with applicable law.

5. Identity Verification

Before fulfilling certain requests, we may need to verify your identity.

Verification may include:

  • Confirming access to the email address associated with the account
  • Asking you to log in to your account
  • Requesting information reasonably necessary to match you to the account
  • Using other reasonable verification methods

We may deny or limit a request if we cannot verify the identity or authority of the person making the request.

For security reasons, we may not provide account information to a person who cannot demonstrate authorized access to the relevant account.

6. Authorized Agents

Where applicable law allows, you may use an authorized agent to submit a privacy request on your behalf.

We may require:

  • Proof that you authorized the agent
  • Verification of your identity
  • Confirmation that the agent has permission to act for you
  • Any documentation required by applicable law

We may deny a request from an agent if we cannot verify the agent’s authority or the identity of the person on whose behalf the request is made.

7. Children, Parents, Guardians, Schools, and Students

Requests involving children, students, schools, teachers, parents, guardians, or educational organizations are handled in accordance with our Children’s Privacy and School Privacy Notice.

Parents and guardians may access and manage a child’s Pronounce account through the relevant user account where account access is available.

Schools, teachers, and authorized educational organizations may access and manage student account information where such access is part of the educational account, classroom, dashboard, or organization setup.

Pronounce does not independently verify every claimed parent-child relationship, guardianship relationship, school relationship, teacher relationship, or administrator relationship unless required by law or operationally necessary.

A person who accesses or manages a child or student account represents that they have legal authority to do so.

Where a school or educational organization controls the student account or student data, Pronounce may direct the requester to the school or educational organization.

8. Types of Requests

Access Requests

You may request access to personal information associated with your account, subject to applicable law and verification.

Where available, account information, reports, transcripts, settings, and other data may be accessible through the user account.

We may limit access where required or permitted by law, including where disclosure would affect the rights or privacy of others, reveal security information, expose trade secrets, or create fraud or safety risks.

Correction Requests

You may correct certain account information through your user account.

If you cannot correct information through account settings, you may contact us for assistance.

We may decline to correct information where we determine that the existing information is accurate, where correction is not technically feasible, or where we are not legally required to make the requested change.

Deletion Requests

Account deletion is handled through the user account where the account-deletion feature is available.

When an account is deleted, Pronounce processes deletion of account-related data in accordance with our deletion process and Privacy Policy.

Deletion may be subject to legally permitted retention, backup retention, fraud-prevention needs, security needs, tax and accounting obligations, dispute resolution, enforcement of agreements, and other lawful purposes.

Some information may remain in backups, logs, billing records, legal records, aggregated data, de-identified data, or records we are legally or operationally required to maintain.

Data Export or Portability Requests

Where available, you may export or download certain information through your user account.

If export tools are not available or do not cover the information you seek, you may contact us.

We may provide data in a reasonable format where required by applicable law and technically feasible.

We may limit export requests where disclosure would affect the rights of others, reveal confidential information, expose security information, or exceed what applicable law requires.

Objection, Restriction, or Withdrawal of Consent

Depending on applicable law, you may have the right to object to certain processing, restrict certain processing, or withdraw consent where processing is based on consent.

Some processing is necessary to provide Pronounce. If you object to or restrict processing needed to provide the service, some features may no longer work, or we may need to suspend or close the account.

Marketing Opt-Out Requests

You can unsubscribe from marketing emails using the unsubscribe link in the email or by changing available account settings.

We may still send non-marketing communications, including service, account, billing, legal, and security notices.

Sale, Sharing, Targeted Advertising, or Profiling Opt-Out Requests

Pronounce does not sell personal information for money.

Some privacy laws define “sale,” “sharing,” or “targeted advertising” broadly. If our use of analytics, advertising, or similar technologies is considered sale, sharing, targeted advertising, or profiling under applicable law, we will provide required notices and choices where legally required.

Where available, you may manage certain choices through account settings, browser settings, cookie settings, or legally recognized opt-out preference signals.

9. Response Time

We aim to respond to verified privacy requests within the time required by applicable law.

Response times may vary depending on:

  • Your location
  • The type of request
  • Whether identity verification is required
  • Whether additional information is needed
  • The complexity of the request
  • The number of requests received
  • Legal or technical limitations

Where allowed by law, we may extend the response period and will provide notice if an extension is needed.

10. Requests We May Deny or Limit

We may deny, limit, or decline to fulfill a request where permitted or required by law.

Reasons may include:

  • We cannot verify your identity
  • We cannot verify your authority to act for another person
  • The request is fraudulent, abusive, excessive, or repetitive
  • The request conflicts with legal obligations
  • The request affects the rights, privacy, or safety of others
  • The request would reveal confidential business information, trade secrets, or security information
  • The request relates to data we must retain for tax, accounting, legal, security, fraud-prevention, dispute-resolution, or operational reasons
  • The request is not technically feasible
  • The request exceeds what applicable law requires
  • The request relates to de-identified, aggregated, or anonymized information
  • The request relates to information controlled by a school, organization, app store, payment provider, or other third party

If we deny or limit a request, we will explain the reason where required by law.

11. Appeals

  • The reason you believe the decision should be changed

We will review appeals in accordance with applicable law.

12. Fees

We generally do not charge a fee for ordinary privacy requests.

Where permitted by law, we may charge a reasonable fee or decline to act on requests that are excessive, repetitive, unfounded, or abusive.

13. Third-Party Services

Pronounce may use third-party providers to support hosting, storage, transcription, AI processing, analytics, payment processing, customer support, security, and other business operations.

Some personal information may be processed by third-party providers as described in our Privacy Policy, Cookie Policy, and Terms and Conditions.

Pronounce does not control all information held independently by third-party services, app stores, payment providers, browsers, platforms, or integrations.

To exercise rights related to information held by a third party as an independent controller, you may need to contact that third party directly.

14. App Stores, Payment Providers, and External Platforms

If you purchased a subscription or used Pronounce through an app store, browser marketplace, extension store, operating system store, payment provider, login provider, or other external platform, some account, billing, subscription, refund, or transaction information may be controlled by that external platform.

Pronounce may not be able to access, correct, delete, or export all information held by external platforms.

You may need to use the privacy, billing, subscription, or account tools provided by the relevant external platform.

15. Data Not Covered by This Policy

This policy does not apply to:

  • Aggregated information
  • De-identified information
  • Anonymized information
  • Public information
  • Information held independently by third-party services
  • Information controlled by schools, employers, organizations, app stores, payment providers, or external platforms
  • Information that is outside the scope of applicable privacy laws

16. No Discrimination

Where required by applicable law, we will not discriminate against you for exercising privacy rights.

However, some Pronounce features require certain information to function. If you delete, restrict, or refuse certain processing, we may be unable to provide some or all features.

17. Changes to This Policy

We may update this Data Subject Access Request Policy from time to time.

When we update it, we will revise the effective date. We may provide additional notice where required by law or where we determine that changes are material.

Your continued use of Pronounce after an update means you accept the updated policy, where permitted by law.
